Canton Fair 2026 Buyer Checklist: What To Prepare Before You Visit

Planning to visit the 140th Canton Fair in Guangzhou to source steel or other products from China?

A successful trade fair visit starts before you arrive.

This buyer checklist covers what international buyers should prepare before the Canton Fair, what information to collect from suppliers, what questions to ask during meetings, and what to check before requesting a quotation or placing an order.

What Should Buyers Prepare for Canton Fair 2026?

Before visiting the Canton Fair, buyers should prepare five things:

01Define the products you want to source
02Prepare detailed specifications and estimated quantities
03Research potential suppliers before the fair
04Prepare a list of questions and documents to verify
05Arrange supplier meetings and RFQs in advance

For steel buyers, it is particularly important to prepare information such as steel grade, standard, thickness, width, coating, quantity, packaging requirements, destination port, and required certificates.

Canton Fair 2026 Buyer Checklist

Use the following checklist before your trip.

01

Product Requirements

Before contacting suppliers, make sure you know what you need.

Product name
Steel type
Steel grade
Applicable standard
Thickness
Width
Length
Coil or sheet requirement
Coating specification
Surface requirement
Color / RAL number, if applicable
Mechanical properties
Chemical composition requirements
Packaging requirements
Estimated order quantity
Expected annual purchasing volume

Example

Instead of asking:

"I need galvanized steel."

Prepare a specification such as:

Galvanized steel coil, DX51D+Z, 0.50 × 1250 mm, Z120, regular spangle, ASTM/EN equivalent, 100 MT.

The more specific your RFQ is, the easier it is for suppliers to provide comparable quotations.

02

Prepare Your RFQ Before the Fair

A well-prepared RFQ can save considerable time during supplier meetings.

Your RFQ should include:

InformationExample
ProductPPGI Coil
GradeDX51D+Z
Thickness0.50 mm
Width1250 mm
CoatingZ120
ColorRAL 9002
Quantity100 MT
DestinationJebel Ali, UAE
IncotermCIF
PackagingExport seaworthy packaging
DocumentsMTC, COO
InspectionThird-party inspection

If you already have an Excel purchase list or technical specification, bring it with you or upload it when contacting suppliers.

03

Research Suppliers Before the Canton Fair

Do not wait until you arrive in Guangzhou to start looking for suppliers.

Create a shortlist before the exhibition.

For each supplier, record:

Company name
Website
Product categories
Factory/trading company information
Main export markets
Certifications
Product standards
Production capacity
MOQ
Typical lead time
Contact person
Booth number
Meeting time

A shortlist of 5–10 relevant suppliers can be more useful than collecting hundreds of business cards.

04

Verify the Supplier

A supplier's booth, website, or catalog does not tell you everything you need to know.

During your meeting, ask questions that help you evaluate whether the supplier can actually handle your requirements.

Supplier Verification Checklist

Legal company name
Business scope
Manufacturing capability
Main products
Export experience
Target markets
Quality control process
Inspection capability
MTC availability
Third-party inspection support
Production lead time
Packaging capability
Export documentation
Payment terms
After-sales process

For large or recurring orders, buyers may also consider conducting additional supplier verification and factory audits before placing an order.

05

Questions to Ask Steel Suppliers

Do not only ask:

"What's your price?"

A better supplier meeting should cover product, quality, production, logistics, and commercial terms.

Product

  • What steel grades do you supply?
  • Which standards can you produce to?
  • What thickness and width ranges are available?
  • Can you provide customized specifications?
  • Do you supply coils, sheets, or both?

Quality

  • What quality documents are provided?
  • Can you provide an MTC for each shipment?
  • Can we arrange third-party inspection?
  • How do you control coating thickness?
  • How do you control dimensional tolerances?
  • What happens if the delivered product does not meet specifications?

Production

  • Is the product manufactured in your own facility?
  • What is the normal production lead time?
  • What is your monthly production capacity?
  • Can you support repeat orders?

Export

  • Which countries do you regularly export to?
  • Which ports do you normally use?
  • Can you quote FOB and CIF?
  • Can you arrange export documentation?
06

Compare Suppliers on More Than Price

The lowest quotation is not necessarily the lowest total purchasing cost.

When comparing suppliers, record the following information:

ItemSupplier ASupplier BSupplier C
Product
Grade
Standard
Thickness
Coating
Quantity
FOB Price
CIF Price
Lead Time
MTC
Inspection
Payment Terms
Packaging
Warranty / Claims

This makes it easier to compare quotations on an equivalent basis.

07

Check the Steel Specification Carefully

When comparing quotations, make sure suppliers are quoting the same specification.

For example, a PPGI quotation should not be compared only by price per ton.

Check:

  • Steel grade
  • Standard
  • Thickness
  • Width
  • Zinc coating
  • Paint system
  • Top coating thickness
  • Back coating
  • Paint brand
  • RAL color
  • Surface finish
  • Coil weight
  • Inner diameter
  • Packaging

A lower price may reflect a different specification.

08

Ask About MTC and Quality Documents

For steel procurement, documentation is an important part of supplier evaluation.

Ask suppliers whether they can provide:

Mill Test Certificate
Chemical composition
Mechanical properties
Coating test results
Dimensional inspection report
Product test report
Certificate of Origin
Third-party inspection report

If your project requires a specific standard such as ASTM, EN, JIS, or GB, confirm the applicable standard before requesting a final quotation.

09

Confirm MOQ and Lead Time

Before leaving the meeting, ask:

What is your MOQ for this specification?

What is the production lead time for this quantity?

What is the lead time for repeat orders?

Can you supply a trial order?

Can you reserve production capacity for regular orders?

This is particularly important when your initial order is small, but your long-term purchasing volume may be larger.

10

Confirm Shipping Information

International buyers should provide their destination port whenever possible.

For example:

CIF Jebel Ali Port

or

CIF Dubai

Ask the supplier for:

FOB price
CFR price
CIF price
Estimated shipping time
Loading port
Container loading method
Maximum loading quantity
Packaging method
Shipping documents

Comparing FOB and CIF quotations can help you understand the actual landed purchasing cost.

11

Bring These Documents to the Canton Fair

For professional sourcing meetings, prepare a digital or printed procurement package.

Recommended Buyer Documents

Product specification
RFQ
Purchase list
Drawings, if applicable
Previous supplier specification
Previous purchase price
Target quantity
Annual demand estimate
Destination port
Required certificates
Inspection requirements
Packaging requirements

If confidentiality is important, avoid sharing sensitive commercial information until the supplier relationship has been properly established.

12

Plan Your Supplier Meetings

Don't rely entirely on walking around the exhibition hall.

Prepare a meeting schedule.

Example

09:30 – Supplier APPGI / PPGL

100 MT trial orderCIF Dubai

10:30 – Supplier BGalvanized steel coil

ASTM specification200 MT

14:00 – Supplier CCold rolled steel

Automotive application

Leave enough time between meetings so you can visit additional suppliers and compare products.

13

Take Notes During Every Meeting

Do not rely on business cards alone.

For every supplier, record:

Supplier:
Contact:
Product:
Specification:
Price:
MOQ:
Lead Time:
Payment Terms:
Quality Documents:
Inspection:
Shipping Port:
Follow-up Date:

Also take photos of product samples, catalogs, technical documents, and booth information where appropriate.

14

After the Canton Fair

Your supplier evaluation should continue after the exhibition.

Within a few days after the fair:

Send the final RFQ
Request formal quotations
Compare specifications
Request MTC samples if appropriate
Verify company information
Discuss payment terms
Confirm production lead time
Request sample/order if necessary
Arrange factory audit if required
Arrange third-party inspection if required
Select suppliers for the next stage

The goal of the Canton Fair is not simply to collect business cards.

The goal is to identify suppliers that can move from conversation → quotation → sample → trial order → repeat order.
